This policy explains how Synkease collects, uses, and protects your personal information. We collect only what's needed to run the service. We don't sell your data. Ever.

We collect only what we need to run the app. We don't sell your data. We don't advertise to you. Your family's care information is yours. You can request deletion of your data at any time by emailing us. This app is a scheduling and coordination tool — it is not a medical system.

Who we are

Synkease ("Synkease", "we", "us", "our") is a web application operated by Ariel Jamisola, ABN 97 474 615 608, based in Sydney, New South Wales, Australia.

The application is available at app.synkease.com and the marketing website at synkease.com. This privacy policy applies to both.

Where applicable, we comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Users outside Australia benefit from the same data handling standards described in this policy.

What data we collect

We collect information you provide directly when using Synkease:

  • Account information: your email address and display name when you register
  • Group information: the group name and group code you create or join
  • Appointment data: appointment titles, types, dates, times, addresses, and notes that you or your care team enter
  • Care team member data: names and colour labels of members added to your group
  • Technical data: browser type, device type, and anonymised usage logs for diagnosing errors only

We do not collect:

  • Government identifiers (Medicare numbers, NDIS numbers, national insurance numbers, tax file numbers)
  • Payment card details (handled exclusively by our payment processor)
  • Location data beyond addresses you manually enter into appointments
  • Photos, voice recordings, or biometric data of any kind
  • Data from your device contacts, camera, or microphone

How we use your data

We use the information we collect for the following purposes only:

  • To provide the service: displaying your appointments, notes, and care team details within the application
  • To authenticate your account: verifying your identity when you log in
  • To manage subscriptions: confirming Pro plan status for your group
  • To respond to support requests: when you contact us via email
  • To improve the product: using anonymised, aggregated usage patterns to inform development decisions
📢 We will never:

Sell, rent, or trade your personal information to any third party.

Use your data to display advertisements.

Use your appointment data to train any AI or machine learning model.

Send you marketing emails without your explicit consent.

Data storage & security

Synkease uses Google Firebase (Firestore and Firebase Authentication) as our backend infrastructure. Firebase is ISO 27001 certified and implements industry-standard encryption at rest and in transit.

All data is transmitted over HTTPS (TLS). Passwords are handled by Firebase Authentication using bcrypt hashing — we never see your password in plain text.

Access to your group's data in Firestore is controlled by security rules that require an authenticated session. Only members of your group can read or write your group's data.

While we implement reasonable security measures, no internet-based system is perfectly secure. We encourage use of a strong, unique password and ask that you notify us immediately at support@synkease.com if you suspect unauthorised access.

International data storage: Google Firebase may store data on servers located outside your country of residence. By using Synkease, you consent to this transfer. Google's data handling is governed by their privacy policy and applicable international data transfer agreements.

Sharing your data

We share your data only in the following limited circumstances:

  • With other members of your care group: appointment data and care team details are visible to all group members by design — this is the core function of the product
  • With our service providers: Google Firebase (infrastructure) and LemonSqueezy (payment processing, when Pro subscriptions are activated). These providers are bound by their own privacy policies and data processing agreements
  • If required by law: we will disclose information if required by a court order, subpoena, or other valid legal process
  • To protect safety: if we reasonably believe disclosure is necessary to protect the safety of any person

We do not share your data with marketing companies, data brokers, or analytics platforms beyond anonymised usage data described in Section 3.

Cookies & local storage

Synkease uses browser localStorage to store your group code and group name locally on your device, so you don't need to re-enter them each visit. This data is not transmitted to any server except as part of normal Firebase authentication.

We do not use advertising cookies, tracking pixels, or third-party analytics scripts. We do not use Google Analytics, Facebook Pixel, or any equivalent tracking technology.

Firebase Authentication may set a session cookie to maintain your logged-in state. This is a functional cookie required for the app to work and cannot be disabled without logging out.

Sensitive information

⚠️ Important: Synkease is a scheduling tool, not a medical record system

Synkease is designed for coordinating appointments and sharing general care notes between family members and carers. It is not a clinical records system, not a medical advice platform, and not a substitute for professional health services.

You control what information you enter. We strongly advise against entering clinical diagnoses, medication names or dosages, medical record numbers, or any information that belongs in a clinical health system.

The appointment notes you record may contain information about health-related appointments. We treat this information with care:

  • Accessible only to members of your care group
  • Never used for advertising or marketing
  • Never sold or shared with third parties for commercial purposes
  • Stored with encryption at rest via Google Firebase

You choose what information, if any, to enter into appointment notes. The app does not require clinical or diagnostic information to function. Notes are freeform text — you are entirely responsible for their content.

Children's privacy

Synkease is designed for use by adults — parents, carers, and support workers — who coordinate care for children. The app is not directed at children, and we do not knowingly collect personal information from children under the age of 13.

Children's appointment information may be entered by their parents or carers as part of care coordination. The parent or carer is responsible for ensuring that entering such information is appropriate and in the best interests of the child.

If you believe a child has created an account without parental consent, contact us at support@synkease.com and we will remove the account promptly.

Your rights

Regardless of your location, you have the right to:

  • Access: request a copy of the personal information we hold about you
  • Correction: request that we correct inaccurate or out-of-date personal information
  • Deletion: request that we delete your account and all associated personal data
  • Portability: request an export of your data in a readable format
  • Complaint: lodge a complaint with us; if unresolved, with the relevant data protection authority in your jurisdiction

Australian users may also contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.

To exercise any of these rights, email hello@synkease.com with the subject line "Privacy Request". We will respond within 30 days.

Data retention

We retain your personal information for as long as your account is active, or as long as needed to provide the service:

  • Account data: retained until you delete your account or request deletion
  • Appointment data: retained until deleted by a group member or upon group deletion
  • Inactive accounts: accounts with no activity for 24 months may be scheduled for deletion. We will notify you via email before doing so
  • Payment records: retained for 7 years as required by Australian taxation law (applies only if a Pro subscription is activated)

When data is deleted, it is removed from Firestore. Firebase backups are retained for up to 30 days as part of Google's infrastructure. After that period, deleted data is permanently irrecoverable.

Changes to this policy

We may update this privacy policy as our product, legal obligations, or practices change. When we do:

  • The updated policy will be posted at synkease.com/privacy.html with a new effective date
  • For material changes, we will notify registered users via email at least 14 days before the changes take effect
  • Your continued use of the service after the effective date constitutes acceptance of the updated policy
